1. Who We Are
1.1 This privacy policy explains how Bizzy Boss Solutions Limited, a New Zealand company trading as Thrive Tribe ("Thrive Tribe", "we", "us", "our"), collects, uses, holds, discloses, and protects personal information.
1.2 We are committed to handling personal information in accordance with the Privacy Act 2020.
2. What This Policy Covers
2.1 This policy applies to personal information we collect through:
- the Thrive Tribe online local directories, each at its own web address (each, a "Directory");
- our main Thrive Tribe website at thrivetribe.co.nz;
- business and organisation listings on the Directory, including listings created from publicly available information;
- our forms, enquiries, sign-ups, and checkout;
- our emails and other communications, including the Notify outreach programme; and
- our Promoter Programme, which has two pathways: the Tribe Builder programme (businesses that display our window sticker and receive a complimentary listing upgrade) and the Tribe Connector referral programme.
2.2 "Personal information" means information about an identifiable individual. Business and organisation contact details can be personal information, for example, where a business is a sole trader, or where a contact name, personal email, or mobile number is involved.
2.3 This policy covers personal information we hold in our systems and customer relationship management (CRM) platform, whether or not it is published on the Directory. We may hold more information about a business, organisation, or individual than appears on the public listing.
2.4 The Directory may add new features from time to time (for example, job postings, blogs, or other content). Personal information collected through any new feature is covered by this policy.
2.5 Some products and services we offer (for example, an AI Receptionist or other business development services) are provided by Bizzy Boss Solutions under a separate agreement. Where you take up one of those, the terms and any privacy arrangements specific to that service also apply.
3. Information We Collect
3.1 Depending on how you interact with us, we may collect:
- Contact and identity information: name, business or organisation name, role, email address, phone number, and postal or physical address.
- Listing information: business or organisation details published or proposed for publication on the Directory, including descriptions, hours, images, logos, links, and team details.
- Account and transaction information: the plan you purchase, billing details, and payment records. Card payments are processed by our payment provider; we do not store full card numbers.
- Enquiry and submission information: anything you send us through a form, a "new business" submission, a listing correction or removal request, an enquiry, or by email.
- Promoter Programme information: for Tribe Connectors (referral partners), this may include bank account number, GST number, and IRD number, collected to administer referral payments and meet our tax obligations. For Tribe Builders, this includes your business details and the photo you send of our sticker displayed at your premises.
- Technical and usage information: information collected automatically when you use our websites, such as IP address, device and browser type, pages viewed, and referring URLs (see clause 8).
- Business and research information: information we compile and hold about a business or organisation in our systems (including our CRM and file storage, such as a shared drive), such as details gathered from public sources, your engagement with our communications, notes from our interactions, and how your listing is categorised. We may hold this for every business and organisation in the Directory, including Free Listing and Tribe Builder listings, and also for potential listings and prospective clients we may add or contact in future.
3.2 You do not have to give us personal information, but if you do not, we may be unable to provide a listing, process a purchase, respond to an enquiry, or administer the Promoter Programme.
4. How We Collect Information
4.1 We collect personal information
- directly from you, when you contact us, complete a form, claim or buy a listing, or join the Promoter Programme (as a Tribe Builder or Tribe Connector);
- automatically, when you use our websites and the Directory; and
- from third parties and public sources, as described in clause 5.
5. Listings Created From Public Information
5.1 To build the Directory, we create business and organisation listings using publicly available information, for example from public registers, business websites, and public online sources.
5.2 Where a listing includes personal information (such as a sole trader's name or contact details), we collect it so that the business or organisation can be found by local customers, and so they can confirm or update their details with us.
5.3 If you are a business, organisation, or an individual named in a listing and you want the listing corrected or removed, contact us at hello@thrivetribe.co.nz and we will action reasonable requests within a reasonable time.
6. How We Use Personal Information
6.1 We use personal information to:
- operate, maintain, and improve the Directory and our websites;
- create, publish, and manage business and organisation listings;
- process purchases, payments, renewals, and invoices;
- respond to enquiries, submissions, claims, and support requests;
- administer the Promoter Programme (Tribe Builder and Tribe Connector), including referral payments to Connectors;
- contact businesses and organisations about listings, including the Notify programme, and send service-related messages;
- send marketing and promotional communications, where permitted (see clause 9);
- tell you about other products and services we offer that may suit your business or organisation;
- maintain the security and integrity of our systems; and
- meet our legal, tax, and regulatory obligations.
6.2 We will only use personal information for the purposes for which it was collected, for a directly related purpose, or as otherwise permitted by the Privacy Act 2020.
6.3 Use of artificial intelligence. We use AI tools to help operate and deliver our services, for example to help write listing descriptions, to power chat and virtual assistants, and, where offered, to handle phone or message enquiries. Where an AI tool processes personal information, we handle it in line with this policy. We keep human oversight of our AI tools and do not rely on them alone to make decisions that significantly affect you without a way for you to reach a person.
7. Who We Share Information With
7.1 We may disclose personal information to:
- service providers that help us run our business, who may store or process information on our behalf, such as our customer relationship management and directory platform providers, our payment processor, and our email and productivity provider;
- listed businesses and organisations, where you submit an enquiry intended to reach them;
- our staff and contractors (including contractors located outside New Zealand) who help us operate, build, and support our systems and services, on a need-to-know basis and under confidentiality obligations;
- professional advisers, such as our accountant or lawyer, where reasonably required;
- government agencies or other parties, where required or authorised by law;
- a purchaser, if we sell or restructure our business, subject to confidentiality; and
- partners, such as marketing, website, or accounting providers, where you ask us to connect you or agree to a referral, so they can provide services to you. These partners use your information as independent providers under their own privacy policies.
7.2 We require our service providers to protect personal information and to use it only for the purpose we engage them for.
7.3 We do not sell personal information. We may share or sell aggregated or de-identified information (for example, directory or market insights) that does not identify any individual.
8. Cookies and Analytics
8.1 Our websites and the Directory may use cookies and similar technologies to make the site work, remember your preferences, and understand how the site is used.
8.2 We may use analytics tools to collect aggregated information about site usage to help us improve our services.
8.3 You can set your browser to refuse some or all cookies, but parts of the site may not function properly if you do.
9. Marketing Communications and Your Choices
9.1 We may send marketing or promotional communications to businesses and organisations, including through the Notify programme, where permitted by the Unsolicited Electronic Messages Act 2007 and the Privacy Act 2020.
9.2 Every marketing email includes an unsubscribe option. You can opt out at any time by using that option or by emailing hello@thrivetribe.co.nz. We will still send you service-related messages where needed (for example, about a listing you hold or a payment).
10. Storage, Security and Overseas Disclosure
10.1 We take reasonable steps to protect personal information from loss, misuse, and unauthorised access, use, or disclosure.
10.2 Some of our service providers and contractors store, process, or access information from outside New Zealand, including in the United States. Where we disclose personal information overseas, or allow it to be accessed from overseas, we take reasonable steps to ensure it is subject to protections comparable to those under the Privacy Act 2020.
10.3 No method of transmission or storage is completely secure. While we take reasonable steps to protect personal information, we cannot guarantee absolute security.
11. How Long We Keep Information
11.1 We keep personal information only for as long as we need it for the purposes set out in this policy, or for as long as we are required to keep it by law (for example, tax records). When information is no longer needed, we take reasonable steps to delete or de-identify it.
12. Your Rights: Access and Correction
12.1 Under the Privacy Act 2020 you have the right to ask for access to the personal information we hold about you, and to ask us to correct it if it is wrong.
12.2 To make a request, contact us at hello@thrivetribe.co.nz. We may need to verify your identity. We will respond as soon as reasonably practicable and within the timeframes required by law. In limited cases we may decline a request, and if we do we will tell you why.
13. Complaints
13.1 If you have a concern about how we have handled your personal information, please contact us first at hello@thrivetribe.co.nz so we can try to resolve it.
13.2 If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner: www.privacy.org.nz, phone 0800 803 909.
14. Children
14.1 The Directory and our services are intended for businesses, organisations and adult users. We do not knowingly collect personal information from children.
15. Changes to This Policy
15.1 We may update this policy from time to time. The current version will always be published at thrivetribe.co.nz/privacy, with the version number and effective date shown above. Material changes take effect when published.
